Monday March 14. Roofing work on Hall B.
Västkusten Tak & Fasad AB are replacing the membrane on Hall B. Anna Lindqvist and Erik Johansson are the crew. Here are the two weeks before, the morning itself — and what happens a month later when someone asks.
The work is defined — once
The operations lead opens the work for "membrane — Hall B". The recurring work steps — roof fall work, membrane torch handling, waste in zone B — are already defined, with their safety requirements, training material, and checks attached. The date and supplier are what need to be decided for this particular instance.
The idea is that you define a work step and its safety requirements once — and reuse them order by order. When a requirement tightens or training is updated, it becomes a new version. Orders already issued carry forward what was in force at that moment — what was true at the time stays true in the trail.
- Work steps, safety requirements, and training defined once — reused order to order
- The same safety requirement can attach to multiple work steps
- Earlier orders are locked to the version that was in force

Västkusten is invited into the same flow
The supervisor at Västkusten gets a link. It's free for the supplier to exist in Samnord — Västkusten registers their organisation and assigns Anna and Erik directly. No license fees, no portal agreements to negotiate.
Suppliers usually get stuck in customer-specific portals. Here, the Västkusten supervisor works in their own organisation view — all their customers in one place. On desktop or in the mobile app, where you log in once and stay signed in. Status updates sync both ways.
- Free for the supplier — no license, no portal fees
- Web + mobile app · log in once, stay in
- Own organisation view with all their customers in one place
The proposal is confirmed, the date is booked
The operations lead sends a work order proposal with date, scope, and safety requirements. Västkusten's supervisor confirms in one click. No "please get back to me" emails.
When someone asks three weeks later who approved what, the answer is in the flow — including any counter-proposals, comments, and changes along the way. Nothing has to be dug out of email history.
- One-click confirmation
- Scheduled reminders ahead of the visit
- Everything logged: who, what, when

Anna and Erik do the induction — on their phones
The reminder arrives Saturday. Sunday evening, Anna sits on the couch and goes through the site induction and the training modules tied to the membrane work. Erik does the same from a different kitchen.
Before arrival, training and induction are confirmed — per person, not per supplier. The operations lead sees the same overview: 4/6 done for Anna, 3/6 for Erik. Remaining items are reminded about in good time before Monday morning.
- Site induction on the worker's phone
- Credentials verified automatically
- Status visible to both sides: who's ready, who's missing something
Risk assessment on site — before work starts
Anna and Erik are met by the site lead. PPE check on the phone. Risk steps walked through. The supervisor's signature still to collect — but that's a two-minute conversation, not an unclear process.
The short risk check happens on the worker's phone, location-bound and timestamped. Interruptions or events that come up during the shift are captured in the same flow. When the shift ends, the trail is already complete — no one has to assemble it after the fact.
- Location-bound signature via phone
- Interruptions and events captured directly
- The trail is ready when the work is done

Audit asks — the answer is there
An auditor asks who approved the membrane work on Hall B on March 14. The operations lead opens the visit. The whole chain is there: who defined the work, who confirmed the proposal, which trainings Anna and Erik completed when, and who signed at the gate.
The trail isn't built after the fact — it's built while the work happens. That means audit becomes a click, not an investigation. Same applies if an incident had occurred: what was done, by whom, when — already documented.
- Complete audit trail per visit
- Export to PDF in one click
- Trail per worker, not per supplier
The day of the visit is boring, in the best way.
Operational clarity before anyone shows up. No surprises, no scramble when work starts.
